Privacy Policy

Bal Sansar Sanstha (“BSS”, “we”, “us”, or “our”) is a registered charity in Rajasthan. This policy explains, in plain terms, what personal information our website collects, why, who else sees it, how long we keep it, and what you can ask us to do about it.

1. Information We Collect

We collect only what you give us through a form, plus basic information about how the site is used:

• When you donate: your name and email address; your mobile number (required for a monthly gift or a sponsorship, optional for a one-time gift); your PAN, if you give it, which you need for an 80G receipt; the amount and the payment reference; and which button or page on this site you came from to the donate page, which we keep so we know which pages lead to gifts.
• When you pay a school fee at Bal Sansar Public School: the pupil’s name and class, the fee type, term and academic year, and your own name, mobile number and (optionally) email address. See section 7.
• When you write to us through the contact form: your name, email address, subject and message, which CSR or Get Involved button you used to reach the form (we keep this so we know which page brought the enquiry), and any details you add if you are offering to volunteer (skills, location, availability), applying for an internship (college, course and available dates), donating books or school supplies (what you have, roughly how much, where you are based and available dates) or asking about a CSR partnership (organisation, budget, area of interest).
• When you subscribe to updates: your email address.
• How the site is used: pages visited, including any words you type into the site’s search box, time on each page, and your browser and device type. This is collected by Google Analytics using a randomly generated identifier stored in your browser. It does not identify you by name, but it is not anonymous.
• Your IP address, which our server uses to limit how often each form can be sent, so that the forms cannot be abused. It is held only in the list used for that purpose, which is cleared out periodically, and it is never stored with a donation, fee or enquiry record.

We never see your card or bank details, and we do not ask for a postal address.

2. How We Use Your Information

• To take your payment and email you a receipt: an 80G receipt for a donation, a fee receipt for a school payment
• To report donations to the Income Tax Department, so that you receive your Form 10BE certificate
• To reply to your message
• To send you updates about our work, only if you subscribe to them
• After your first donation (a one-time gift, or the first payment of a monthly or yearly gift), to send you up to three short emails about it over the following month. Each has a one-click unsubscribe link. Later payments of a monthly or yearly gift do not start them again.
• To understand which pages are useful, and whether our advertising leads to donations
• To meet our legal, tax and audit obligations

3. Data Protection & Retention

Card and bank details are entered directly into our payment provider, Razorpay, and never reach our servers. What we keep is the record of the payment itself, as listed in section 1. The site is served over an encrypted connection; only authorised BSS staff can sign in to see donation, fee and enquiry records; and the logs our systems write to diagnose faults are built to exclude donors’ names, email addresses, phone numbers and PANs.

We keep donation and school-fee records — including the PAN you give for an 80G receipt — for as long as our legal, tax and audit obligations require, such as reporting donations to the Income Tax Department on Form 10BD, and we do not delete them if you ask. We keep contact-form messages so that we have a record of the correspondence. We do not currently delete any of these records automatically. You can ask us to delete your information. We can remove your address from our newsletter list, delete the contact-form messages you sent us and delete the record of the follow-up emails after a first donation. When we delete that record we keep a note that you asked us to stop, so that no more are sent. A member of our staff handles each request, and we will tell you what we have done or why we cannot, for example where the law requires us to keep a record. Copies may remain in our backups for a limited period.

4. Sharing of Information

We do not sell, trade, or rent your personal information. We share it only with the organisations that help us run the site, take payments and reply to you, and only for that purpose:

• Razorpay, our payment provider, which receives the payer’s name, email address and phone number so that it can take the payment. We do not send it your PAN, and for a school fee we do not send the pupil’s name or class; those stay in our own records.
• Google. Google Analytics measures how the site is used. Google Ads measures whether our advertising leads to donations: when a donation completes, Google receives its amount, the type of gift and the payment reference — never your name, email address or PAN. We do not use Google to follow you with advertising elsewhere.
• Our email provider, which delivers receipts, replies and updates.
• An AI writing assistant, if a member of our staff uses one to help draft a reply to a message you sent through the contact form. What is pasted in is the subject and the text of your message, with email addresses, phone numbers and PANs masked; the name and email address you gave on the form are not included, though anything you write inside the message itself is. A person reads and sends every reply, and the site does not send anything to an assistant itself.
• Cloudflare and Microsoft Azure, which deliver and host this website.
• The Income Tax Department, to which we report donations made with a PAN, on Form 10BD.
• Anyone else only when the law requires it, or to protect the rights, safety or property of BSS or others.

The site carries no social-media widgets, no advertising trackers beyond Google’s own measurement, and no session-recording or similar tools.

5. Cookies

If you are simply visiting or donating, our own website sets no cookies on your device. We set cookies only for BSS staff signed in to manage the site, and for someone opening a preview link we have shared with them; both are needed for those features to work, and neither is used for tracking.

Google Analytics and Google Ads set their own cookies when you visit, for the purposes described in section 4, and our payment provider may set its own while you pay. You can block or delete these in your browser settings; blocking Google’s does not stop the site working. Your choice of light or dark display is saved in your browser only, and is never sent to us.

6. Third-Party Links

Our website may contain links to external websites. We are not responsible for the privacy practices or content of these third-party sites. We encourage you to review their privacy policies.

7. Children’s Privacy

BSS runs Bal Sansar Public School. When a parent or guardian pays a school fee online, they give us the pupil’s name and class (from Playgroup to Class 8), along with their own contact details. These come from the adult paying, not from the child. We use them to issue the fee receipt and to keep the school’s fee records. As section 4 explains, the pupil’s name and class are not passed to our payment provider; they stay in our own records and appear on the receipt we email.

The stories on this site identify the people who share them by their role, for example “BSPS Student” or “Community Health Worker”, rather than by name. Some photographs on the site show children taking part in our programmes. If you are a parent or guardian and would like a photograph, or any other information about your child, removed, write to us using the details below and we will take it off the site, including the image file itself.

8. Your Rights

Under the Digital Personal Data Protection Act, 2023, you can ask us to tell you what personal information we hold about you, to correct it, or to delete it, and you can withdraw any consent you have given. Write to us using the details below. A member of our staff handles each request, and we will tell you what we have done or why we cannot, for example where the law requires us to keep a record, such as a donation we have reported for tax. We can tell you which of our lists hold your email address and what kinds of detail each one holds.

You can stop our updates, and the follow-up emails after a first donation, at any time using the unsubscribe link in any of those emails.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated revision date.
